With Sales demands up for oil and juice, were on our way towards building the next iteration of transformational growth.

We are currently looking for an Executive Assistant at our Corporate Office in Ventura, CA. This position will support the CEO and Sr Leadership Team.

Compensation: $70,000 - $80,000 annually with bonus potential.

Job Summary

The admin executive assistant supports the senior leadership team (CEO, CFO, CHRO and VP of Sales and Planning) in their duties and promotes the corporate image by representing those executives with professionalism in communication and conduct. A high degree of organizational and critical thinking skills, excellent communication and interpersonal skills are necessary to be successful. Must be able to perform tasks such as scheduling; reviewing, prioritizing and responding to emails; answering and returning phone calls; organizing documents; welcoming visitors, maintaining records and office supply inventory; taking notes at meetings and any other administrative tasks that help the senior leadership team perform their respective jobs. A team player capable of cultivating productive working relationships across the company.

What you will do in your Role

  • Food Safety is the responsibility of all Ventura Coastal manufacturing employees. All Ventura Coastal manufacturing employees must be aware of CCPs in their area and how to document them appropriately. All staff must report food safety and quality problems to their immediate supervisor in charge during their shift.
  • Support senior leadership team with administrative and organizational duties.
  • Maintain the senior leadership team schedule.
  • Prepare, reconcile, and submit expense reports on behalf of the senior leadership team.
  • Prioritize and manage multiple tasks with intense deadlines. Assist the senior leadership team with a variety of projects and activities.
  • Prepare research, compile data, prepare reports and financial data, prepare presentations and organize projects.
  • Update and follow up on delegated tasks to ensure progress to deadlines, take initiative in senior ledership team absence and keep projects on schedule.
  • Screen telephone calls, visitors and incoming mail.
  • Manage office supplies.
  • Manage correspondence and minutes of the meetings.
  • Coordinate travel plans for the senior leadership teams.
  • Coordinate corporate social events.
  • Maintain files, including confidential information on behalf of the senior leadership team.
  • Draft, review and send communications on behalf of the senior leadership team, including monthly fruit pricing.
  • Manage fruit pricing, files, archive and announcements.
  • Manage corporate contract files and archives in conjunction with corporate counsel.
  • Prepare administrative claims such as expense account reimbursement.
  • Follow all safety rules and practices to include the wearing of all essential personal protective equipment.
  • Follow all food safety and personal hygiene practices.
  • Demonstrate reliable attendance, consistent punctuality and a conscientious attitude at all times.
  • Act professionally towards customers, vendors, employees and visitors.
  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments as needed.

  • Associate Degree required. Bachelors Degree a plus.
  • Four (4) or more years experience in responsible secretarial work.

The Physical Requirements of the Role

  • The ability to meet flexible and changing priorities and the ability to work under pressure is a must. Sitting, standing, and walking. Minimal climbing, lifting and bending.
